Quotes and itineraries
Create, preview and send professional quotations with a section-by-section builder.
Quotes are a premium feature. A quotation is an itinerary linked to a lead or customer and stored with status Quoted. A reusable package uses the same builder but is stored with status Saved (see My Packages).
Quote list#
- Open Quotes.
- Use the Sent tab for server-saved quotations.
- Use the Drafts tab for unfinished work stored in your browser.
- Search by itinerary or package name, or traveler contact details.
- Use the row or card actions to View, Edit or Delete.
Deleting a saved quote or a local draft needs confirmation.
Start a quote#
- Choose an entry point: Create Quotation on the Quotes page, Create quotation from a lead, a saved package in My Packages, or import a saved package inside the builder.
- If you start from a lead, traveler fields are filled from that lead.
- If you start from a package, the reusable trip content is imported while the quote stays linked to the selected traveler.
- Work through the builder sections below.
Builder navigation and saving#
The builder has a section navigator with Previous and Next controls. Sections can be collapsed where appropriate. Changes are saved periodically as a browser draft after a short delay.
Drafts live only in the current browser and device. Clearing site data, switching browser or device, or using private mode can make drafts unavailable. Saving or sending creates a server record that is available across devices.
Traveler Details#
Enter full name, email, phone number and destination.
Travel Details#
- Package overview, up to 500 characters (about 60 to 75 words is recommended).
- Duration, best season from and to month, and group size.
- Adults, children and infants.
- Pickup and drop location.
- Date of booking, trip start date and trip end date.
Trip dates control duration and day behaviour. If you shorten the range below the number of existing day plans, the app asks before trimming extra days.
Highlights#
- Add up to four highlights, each with a title and description.
- Open the sample dialog to see how highlights render as a list, cards or a grid.
- Delete a highlight with confirmation.
Flights#
For each flight choose Arrival or Departure, the travel date and arrival date where applicable, and the origin and destination fields. You can add or delete flights.
Day-wise itinerary#
Each day supports:
- a day number or label, a title and a short description;
- one or more day images from the gallery;
- meals: Breakfast, Lunch and Dinner;
- hotels with name, address, 2 to 5 star rating, room type (Deluxe, Luxury, Suite, Executive or Standard) and image;
- cabs with vehicle name and type;
- activities with title and description;
- a special note for the day.
Add or delete days, hotels, cabs and activities. The builder prevents adding days beyond the selected trip duration.
Gallery and image upload#
The image picker has My Images (organisation uploads), All and Upload. Uploads support PNG and JPEG up to 5 MB. The picker allows one selected image at a time for the fields that use it.
Inclusions and exclusions#
Add individual included and excluded items, remove unwanted ones, or search and import a reusable set created under Policies and notes. Keep wording explicit because these lists appear in the customer-facing output.
Additional Services#
- Add up to twelve services with title, description, price and price type.
- Price type is Overall or Per day.
- Search and import reusable services. Their default price and type are prefilled but remain editable for the current quotation.
Policies and Notes#
Add a title and description for each policy, or search and import saved organisation policies. Delete policies that do not apply to the trip. Use Notes for free-form customer instructions. A reusable note marked as the organisation default can be applied automatically.
Quotation pricing#
Choose Overall Cost or Per Head Cost, then enter the package cost, additional charges and GST percentage. The total amount is shown. Selected add-on service prices appear in the calculation area. Review the total before sending or downloading.
Import a saved package#
- Select Import from My Packages.
- Search packages and select one.
- Confirm if importing will replace current builder content.
- Review all imported details, especially traveler, dates and pricing.
A hint may point to the import control up to three times a day, at least fifteen minutes apart, until you dismiss it or have used it.
Save, preview, send and export#
- Save as package: enter a required package name and store the content under My Packages.
- Create or Update Quotation: validates the builder and creates or updates the server record.
- Preview: renders the quotation with the chosen PDF template.
- Edit: returns from preview to the builder.
- Save to My Packages: clones the quotation content into the reusable library.
- Download PDF: generates the customer-facing PDF. The template viewer may also offer a second export option.
If PDF creation fails, wait for images to finish loading, check your connection and retry.
Quotation records, GST and status#
Where quotation records are enabled, the trip content (the itinerary) and the commercial quotation are kept separately. The itinerary stays the source of the trip details. The quotation is its own customer-linked record with a quote number that is unique in your organisation.
Create a quotation#
- Start from a customer's itinerary or another Create quotation action.
- Review the itinerary and customer. Pricing already saved in the itinerary is prefilled.
- Choose Overall or Per head cost.
- Enter the package amount, additional charges, GST rate, an optional validity date and notes.
- Choose the GST supply type: - Intra-state: GST is split equally into CGST and SGST. - Inter-state: IGST is applied and CGST and SGST stay at zero.
- Check the calculated CGST, SGST, IGST and total amount.
- Create the quotation. It starts as Draft.
Work with quotations#
- The Quotes page lists the quote number, customer, itinerary, status, total amount and creation date, 20 per page.
- A customer's profile shows only that customer's quotations.
- Open a quotation to see pricing, links to the customer and itinerary, validity, notes and the actions available for its status.
- Only Draft quotations can be edited: cost type, amounts, GST handling, validity and notes.
- Download a quotation PDF with your organisation details, customer details, trip information, quote number, validity, the price and tax breakdown, status, notes and issue date.
Quotation status#
Draft → Sent → Approved
A Draft or Sent quotation can instead be marked Rejected. Only the valid next actions are shown:
- Draft: Sent or Rejected.
- Sent: Approved or Rejected.
Admins manage every quotation in the organisation. Sales agents work with the quotations and itineraries they created.
Frequently asked questions#
What is the difference between a quote and a quotation record?
The quote content is the itinerary and trip details. A quotation record adds the quote number, GST breakdown, validity and status on top of it.
Which quotations can I edit?
Only quotations in Draft status.
How is GST calculated?
Intra-state supply splits GST into equal CGST and SGST. Inter-state supply applies IGST.
How do I create a quotation from a lead?
Open the lead, select Create quotation, then choose Create from scratch or Create using My Packages.
Where do unfinished quotes go?
They appear in the Drafts tab and are stored in your current browser only. Save to the server to keep them across devices.
Can I add GST to a quotation?
Yes. The pricing section lets you enter a GST percentage along with package cost and additional charges.
How many highlights and services can I add?
Up to four highlights and up to twelve additional services.
Why does my PDF not generate?
Wait for all remote images to load, check your network, try a different template, or reduce problem images, then retry.
