# Policies and notes

> Store reusable cancellation policies, notes, inclusion and exclusion sets and services in Miya Travel, then add them to any quotation in one click.

Policies and Notes is a **premium** area for reusable content. It is found under **Quotations**.

## Policies

1. Open **Policies & Notes**, then **Policies**.
2. Select **Add policy**.
3. Enter a policy name and policy details.
4. Save.
5. Use the edit action to change it later.
6. Use pagination to browse older records.

Typical examples are cancellation, payment, refund, child, hotel and rescheduling terms.

## Notes

1. Open the **Notes** tab.
2. Select **Add note**.
3. Enter a title and description.
4. Save.
5. Use **Set default** to make one note the organisation default.
6. Edit existing notes as needed.

Typical examples are visa reminders, packing guidance, ID requirements and arrival instructions.

## Inclusion and exclusion sets

1. Open **Inclusions & Exclusions**.
2. Choose the inclusions or exclusions list.
3. Create a named set.
4. Enter at least one non-empty item. Five blank rows are supplied for convenience.
5. Add or remove rows.
6. Save.
7. Use the row actions to edit or delete a set.

## Additional services

1. Open **Additional Services**.
2. Select **Add service**.
3. Enter the service name and description.
4. Choose **Overall** or **Per day** pricing.
5. Enter a non-negative price.
6. Save, then edit it when defaults change.

Examples include travel insurance, airport transfer, guide service and room upgrade.

## Use saved content in a quote

Inside the [quote builder](/docs/quotes-and-itineraries/) you can search and import saved policies, inclusion and exclusion sets, and services. Imported services keep their default price and type but stay editable per quote.

## Frequently asked questions

### What is the default note?
A note marked **Set default** can be applied automatically by the quotation workflow.

### Can I change an imported service price?
Yes. The imported price is prefilled and remains editable for the current quotation.

### How many inclusion items do I need?
At least one non-empty item per set.
